Procure-to-Pay
Procure-to-Pay (P2P) is a process in procurement that covers the entire journey
of
acquiring goods or services, starting from identifying the need for a purchase to making the
payment to the supplier. It is a critical part of the procurement and accounts payable
functions, aiming to streamline and automate the purchasing and payment process.
Key Stages of the Procure-to-Pay Process:
- Need Identification: A department identifies the need for goods or
services, triggering the procurement process.
- Requisitioning: A purchase requisition is created,
typically by the department needing the goods or services. This requisition specifies what
is required, including quantity, specifications, and budget.
- Supplier Selection: The procurement team either identifies a preferred
supplier or sends out a request for quotations (RFQs) or tenders to various suppliers,
depending on the purchase requirements.
- Purchase Order Creation: Once the supplier is selected and terms are agreed
upon, a Purchase Order (P.O.) is created and sent to the supplier,
formalizing the intent to purchase.
- Order Fulfillment: The supplier delivers the goods or services according to
the terms set in the purchase order.
- Receipt of Goods/Services: Upon delivery, the receiving department inspects
the goods or services to ensure they meet the order specifications and are in satisfactory
condition. A goods receipt is created as documentation.
- Invoice Processing: The supplier sends an invoice to the buyer. The
procurement and accounts payable teams match the invoice with the
purchase order and goods receipt (this is called the
"three-way match") to ensure everything is accurate.
- Payment: Once the invoice is verified, payment is made to the supplier
according to the agreed payment terms (e.g., Net 30, Net 60).
- Record Keeping and Reporting: The transaction is recorded in the financial
system, and reporting tools may be used to monitor spending, supplier performance, and
compliance.
Benefits of Procure-to-Pay:
- Efficiency: Automates manual tasks, reducing time and effort in the procurement and payment processes.
- Cost Control: Helps organizations manage and track spending more effectively, ensuring purchases are within budget.
- Compliance: Ensures that purchasing processes follow company policies and regulatory requirements.
- Supplier Relationships: Facilitates timely payments, which helps maintain positive relationships with suppliers.
- Accuracy: Reduces errors by automating matching invoices to purchase orders and goods receipts.
P2P is often integrated into procurement software or enterprise resource planning (ERP) systems,
which help streamline the process and improve visibility, control, and reporting.
